  • Customer administration
  • Accounts receivable
  • Inventory
  • Purchasing
  • Vendors / contractors
  • Hiring
  • Employee onboarding
  • CRM / business systems

Scope boundaries

Coverage across the agreed map, with responsibility, capacity, authority, approval thresholds, and exclusions documented for each domain. Comprehensive does not mean unlimited. The coordinator is not an exclusive full-time employee. Standard service excludes 24-hour human staffing, onsite work, and major transformation projects.

Base pricing assumes one primary operating location. Monthly transaction allowances—such as numbers of leads, appointments, invoices, or documents—are still being validated. Final scope and capacity must be agreed before service begins; no tier provides unlimited activity.

Working launch arrangements

Support and response expectations.

Proposed staffed hours: Monday–Friday, 8:00 AM–6:00 PM Eastern, excluding published company holidays. These working targets remain subject to final confirmation.

Business AssistNext business day4 business hours2 business hours
Business Support4 business hours2 business hours1 business hour
Business Operations2 business hours1 business hour30 business minutes
Administration Department1 business hour30 business minutes30 business minutes

Response means meaningful acknowledgment, triage, and an identified next step—not guaranteed resolution. After-hours requests resume on the next staffed support window. Scheduled automations may run outside staffed hours; 24/7 live human coverage is not included. Support channels and escalation contacts are confirmed during onboarding.

What if I need more than my selected tier?

Working monthly prices for an additional function are $175 for Business Assist (maximum one), $225 for Business Support (maximum one), and $300 for Business Operations (maximum two), before plan review. Administration Department uses its Coverage Map and custom capacity instead of per-function pricing.

Additional locations, systems, integrations, activity, and recurring exceptions may require a revised scope. Migration, custom automation, major process documentation, and extended human support are separately quoted. Software, connector, communication, integration costs, and applicable taxes may apply separately. BESRO configuration faults or avoidable rework should not automatically become chargeable client overages.

Your initial setup

Your onboarding fee puts your administration in place.

Before BESRO manages the day-to-day work, we need to understand your business, set up the agreed workflows, and check that they work correctly. The onboarding fee covers that initial preparation. Your subscription covers the ongoing service within your agreed scope.

Service levelInitial onboarding feeSetup scope
Business Assist$299Your two selected recurring functions
Business Support$499Your four selected recurring functions
Business Operations$999Your six selected managed functions
Administration Department$1,499Your agreed Department Coverage Map

Working launch fees, subject to final validation. The fee is separate from your subscription and covers initial onboarding within the agreed standard scope. Additional implementation projects are quoted separately.

Understand and organize

Confirm your selected services, business hours, goals, activity levels, existing software, and policies. Establish your client account and identify the people responsible for approvals and escalations.

Configure your setup

Arrange secure, delegated system access with permissions limited to the work agreed. Configure approved workflows, message templates, reporting, and in-scope integrations. Define what needs your approval and how exceptions are handled.

Test and activate

Check routine tasks, duplicate handling, integration failures, and approval controls. Present the setup for your approval, activate after the required checks pass, and closely monitor the first live transactions.

What we need from you

  • Your business information, selected functions, goals, and expected activity.
  • A primary and backup escalation contact, plus clear approval limits.
  • Authorized access to the agreed systems, relevant policies, and communication permissions.
  • Your review and approval of the configured setup before activation.

What is outside standard onboarding?

Large historical data migrations, legacy data cleanup, major system integrations, and custom implementation work are separately scoped and quoted. Any applicable software, connector, or communication charges are identified separately.

How long does setup take?

Confirm the timeline in your proposal. Timing depends on the agreed scope, access to systems, information readiness, and approvals. Fixed onboarding times for each tier have not yet been finalized.

Payment and activation: Accept the service agreement and pay the onboarding fee plus the first subscription term before setup proceeds. Your first prepaid subscription period begins on service activation, after the required testing and your configuration approval. Setup time does not use up that subscription period. We record the official activation date as the start of your first service term. The recorded policy makes the onboarding fee nonrefundable once onboarding begins. Commercial amounts and final agreement wording remain under review.

What shapes the scope and cost?

These are the details to clarify before choosing a level of service.

The work you need managed

Identify the capabilities and tasks you want support with, from customer follow-up and scheduling to invoices, team administration, and reporting.

The setup involved

Consider the information that needs organizing, the workflows to configure, and the preparation your team needs to get started.

The level of ongoing support

Clarify the volume and frequency of the work, the responsibilities involved, and the coordination needed to keep administration moving.

Clarity before you start

Know what the proposal covers.

A useful pricing conversation should make both the work and the cost clear. These are the items to review together before moving forward.

Explore the capabilities

Tools, connections, and costs

Understand the setup behind your service.

BESRO organizes agreed workflows and administrative support around your needs. The proposal should identify the systems involved, what setup is included, and any separate costs before you proceed.

Can we keep the software we already use?

Existing software is reviewed during onboarding, including where the authoritative records are held and what access each function needs. Whether a tool can remain in the setup depends on its suitability, available connections, permissions, and the agreed scope. Compatibility with every program is not promised; any proposed change should be explained before configuration begins.

Does my subscription include every software license?

Do not assume that every third-party subscription or usage charge is included. Included subscriptions and any additional software costs will be specified in your proposal. Your proposal should distinguish BESRO’s service fee from any software, connector, communications, or integration charges payable separately.

What does standard setup cover?

Standard onboarding covers the agreed configuration, approved workflows, message templates, reporting, in-scope connections, and testing for your selected service. Large historical migrations, legacy cleanup, major integrations, and custom implementation projects are outside standard onboarding and require a separate scope and quote. Review the onboarding explanation.

Will our team need to learn new tools?

Your team is introduced to the agreed setup and the steps it needs to use, including where to find information, how to raise requests, and how to provide approvals. The amount of learning depends on the tools and responsibilities involved. BESRO’s aim is to reduce coordination effort; the service does not promise zero training or eliminate every program your business uses.

What costs should the proposal make clear?

Review the initial setup fee, recurring service fee, any separate subscriptions, usage-based charges, connection setup or maintenance charges, and separately scoped projects. Confirm who pays each cost and what changes in workload or systems could prompt a pricing review. Relevant software and integration costs may apply separately; current commercial figures remain working proposals.

What if we add another system or location later?

Additional systems, locations, integrations, or recurring exceptions can change the work involved. Review the required access, responsibilities, ongoing costs, and capacity before expanding the service. BESRO configuration faults and avoidable rework should not automatically become chargeable customer overages.

Common questions

A few things to clarify.

Do I need support in all six capability areas?

No. Business Assist includes two selected functions, Business Support four, and Business Operations six from their respective menus. Administration Department follows an agreed Department Coverage Map. Review the six capabilities.

Where can I see the prices?

The four service levels above show starting monthly prices from $599 to $3,299, plus a separate onboarding fee. These are working prices subject to final validation; the proposal will confirm your scope and final cost.

Is there a separate setup fee?

Yes. The working onboarding fees are $299 for Business Assist, $499 for Business Support, $999 for Business Operations, and $1,499 for Administration Department. These cover initial setup separately from the monthly subscription and remain subject to final validation. See what onboarding includes, what we need from you, and when payment is due.

When does my paid subscription period begin?

Your first subscription payment is collected before setup, alongside the onboarding fee. The prepaid service period starts when service is activated after testing and your approval—not on the payment date. The onboarding fee covers initial setup; setup time does not reduce your prepaid service period.

What if my needs change?

Changes in workload or responsibilities should prompt a review of the scope and pricing. The process for making those changes would be agreed as part of your service terms.

What happens first?

Start by identifying your administrative needs and priorities. From there, discuss the appropriate setup and level of support. See the four-step process.

Let’s start with your priorities.
